Key Points:

  • If event dates change during an order, available options depend on whether production has started, finished, or goods have been dispatched.
  • Orders not yet in production remain flexible, but once production begins, changes or cancellations are not possible.
  • Contacting your account manager early increases available options, helps avoid unnecessary costs, and improves the chances of adjusting dispatch or storage.

Event dates change more often than most teams expect. Venues reschedule, internal approvals shift, and marketing campaigns move. When that happens after production has started, the timing and costs are among the concerns we need to tackle.

In this blog, we share insights from one of our account managers on what typically happens when an event date shifts mid-order, and what buyers can expect at each stage of production.

Where Is the Order in Production?

After you place an order, production immediately starts. That’s why we have to first find out where we are in the production process to identify what we can change or speed up.

Production Stage What Has Happened What Can Still Change What Cannot Change
Quoted, not approved Pricing discussed, no PO issued Quantities, product, delivery date Nothing committed yet
Approved, pre-production Artwork approved, stock allocated Dispatch timing (in most cases) Branding method locked
In production Printing or embroidery underway Limited freight timing adjustments Product, artwork, quantities
Completed, awaiting dispatch Branding finished, packed Dispatch date (short-term hold possible) Any production changes
Dispatched With courier or in transit Delivery redirection (case-by-case) Production changes

If production has not started, timelines are more flexible. Once branding begins, adjustments become limited. After dispatch, changes depend on courier arrangements.

What Happens If the Event Is Postponed?

If an event is postponed for 2 to 4 weeks, it is usually manageable. Possible solutions include:

Situation Likely Action
Production not started Adjust print schedule
Production completed Hold stock temporarily
Freight not booked Rebook delivery date
Freight already booked Adjust delivery where possible

Short delays are easier to manage than sudden accelerations. Storage availability may influence options if large volumes are involved.

What If the Event Is Cancelled?

Cancellation is more complex and depends entirely on timing. If branding has not started, the order may be paused or cancelled. But if we’ve already started production, we can’t cancel your order. It is because

  • The products cannot be returned to blank stock.
  • Custom logos cannot be removed.
  • Production costs are already incurred.

When we encounter this type of issue, we usually recommend allocating the items to another campaign or holding the merch for your future events. We can also assist in redirecting the delivery to different branches.

Can Delivery Details Be Changed?

Address changes are usually possible before dispatch. Once freight is booked, changes may involve:

  • Rebooking fees
  • Delivery delays
  • Courier redirection charges

For national deliveries across Australia, confirming warehouse receiving hours, contact numbers, and delivery windows in advance reduces risk. Incorrect or late address updates are one of the most common avoidable delays.

What If the Deadline Moves Earlier?

Bringing a delivery date forward is generally harder than pushing it back. Factors that affect early delivery include:

Factor Impact
Stock availability May limit immediate production
Production capacity Slots may already be booked
Decoration method Some methods require longer setup
Freight schedules Express options may be required

The Most Common Mistake

The most common issue when dates shift is delayed communication. Even when the new event date is not confirmed, raising the possibility early creates more flexibility. Production schedules are structured. Late updates reduce available options.

Managing Date Changes Without Disruption

We understand how common it is for event dates to shift. And when it is communicated as soon as you find out, it is easier for us to review and see what adjustments we can make. Some adjustments are straightforward, while others depend entirely on how far the order has progressed. If a date change occurs, contact your account manager immediately.
