How We Delivered 5,000 Custom Lanyards From Sydney to Perth in 48 Hours?

Key Points

  • We delivered 5,000 custom lanyards from Sydney to Perth within 48 hours for a major corporate event.
  • Fast artwork approval and a 24-hour production schedule helped production start immediately without delays or revision hold-ups.
  • The order arrived before event setup, giving organisers enough time to prepare registration passes, exhibitor badges, and attendee packs.

A client asked us to deliver 5,000 custom lanyards from our Sydney showroom to their office in Perth in just 48 hours for a big event. Since the artwork was approved right away, we skipped the usual back-and-forth and started production immediately. For urgent orders like this, standard turnaround times are too slow. Ariane, who managed the order from afar, suggested our 24-hour production option so we could start printing as soon as the artwork was approved.

Why the Order Became Urgent?

The lanyards were needed for a big event in Perth, where the team still had to put together registration passes and badges before setup day. Without the lanyards arriving on time, the event team would not have been able to properly prepare staff passes, exhibitor credentials, VIP badges, and registration packs. Since the shipment had to go from Sydney to Perth, timing the freight was just as important as fast production.

Fast Artwork Approval Saved Time

One of the biggest causes of delay on rush promotional jobs is artwork approval. Sometimes companies spend hours adjusting logos, colours, print positioning, or sponsor branding before production can even begin. In this case, the client approved the artwork almost immediately, allowing production scheduling to start straight away. The lanyards themselves were simple:

  • Custom printed event branding
  • Standard attachment fittings
  • Bulk packed for event preparation.

Because the design was locked in early, production continued without interruptions or last-minute changes.

The 24-Hour Production Option Was Critical

Two racks display conference merchandise quantities: one full of lanyards, one nearly empty.
Ariane, one of our account managers, suggested switching to a 24-hour production schedule instead of the usual lead times. This gave our team enough time to print, assemble, pack, and send the order before the Perth freight deadline. Rush production is often necessary for event merchandise because setup schedules can’t change. Once venues, exhibitors, and registrations are set, the merchandise deadline is fixed too. For lanyards, the pressure is high since they’re needed for event access and attendee registration.

Freight Became the Final Challenge

Once production finished, the next challenge was getting 5,000 units from Sydney to Perth fast enough for the event setup schedule. Interstate freight can become unpredictable quickly, especially for urgent event deliveries. Timing matters heavily around:

  • Freight cut-offs
  • Air cargo scheduling
  • Delivery windows

Luckily, production finished in time for dispatch, and the shipment arrived before the event build began. This gave the team enough time to set up registration desks, put together attendee passes, and sort exhibitor credentials before setup day. Most attendees probably never knew how close the timing was.

What We’ve Learned From This?

What we realised after this is that timely communication is crucial. Having the artwork approved right away and the client agreeing on the 24-hr production option really helped us pull this off. People often underestimate lanyards because they look simple. But at conferences, exhibitions, and corporate events, they’re actually very important. If they arrive late, registration and event access can be delayed. In this case, delivering 5,000 custom lanyards from Sydney to Perth in 48 hours was only possible because we kept every stage moving without delays between approval, production, and dispatch.
