Essential Conference Bags for Events and Expos Australia

If you pick the wrong event bag, it might get left under a chair before lunch. The right bag, though, gets used again on campus, at work, at sports, or on the train home. That’s why conference bags are still important for Australian events, even if the event only lasts one day.

In this episode of The Merch Shortlist, our team at Cubic Promote looks at the best branded bag options for conferences, expos, university open days, sports groups, staff campaigns, community events, and trade shows. We’ll talk about cotton tote bags, non-woven totes, backpacks, paper day bags, and nylon drawstring bags, and share practical tips on which bag suits each event.

Which bag works best for your event audience?

The right event bag depends on what people need to carry, how long they’ll use it, and the impression you want your brand to leave. For example, a university open day in Melbourne needs something different from a construction expo in Brisbane or a school sports carnival in regional NSW. For most conferences, the bag has two jobs:

  • Hold brochures, notebooks, drink bottles, lanyards, flyers, and sponsor inserts.
  • Carry your logo in a way that feels useful rather than disposable.
  • Make event registration easier by giving attendees a single place to store their materials.
  • Extend brand visibility after the event by having the bag reused.

If you’re organising an event or attending a trade show, we recommend you review your options first to ensure the budget you allocate to these conference bags delivers the value you expect.

How do cotton tote bags perform?

Cotton tote bags are a great choice if your audience is likely to reuse the bag after the event. They’re a good fit for universities, creative industries, sustainability events, education providers, councils, and brands that want a softer, more casual style. The biggest advantage is comfort. Cotton totes sit easily on your shoulder, fold flat, and have a big front panel for your logo, event name, sponsor artwork, or campaign message. Cotton totes work well for:

  • University open days and student orientation weeks
  • Arts, design, publishing, and creative industry events
  • Council programs and community information days
  • Sustainability-themed conferences
  • Delegate packs with notebooks, flyers, pens, and light gifts

Mary Aguirre Cruz, one of our top account managers, suggested choosing cotton totes if you want your brand to last. A simple one-colour print on natural cotton works well for student events, arts festivals, corporate gifts, and open days where people need to carry brochures without feeling weighed down. Read about the cotton tote bags we supplied for Harry Potter: The Exhibition.

Additional tip: Go for minimal designs, as they are more likely to be reused (based on our experience at trade shows and conferences).

When should you choose non-woven totes?

Non-woven tote bags are the practical choice for event merchandise. Organisers often pick them when they need a bright, lightweight, and affordable bag that can be ordered in large numbers.

Ariane Milarpez, one of our account managers, noted that its main advantage is the colour. If your brand uses bold colours like red, blue, green, orange, or yellow, non-woven totes can match or complement your campaign.  Choose non-woven tote bags when you need:

  • A lower per-unit cost for large-volume orders
  • Bright colours that stand out in a busy event space
  • A lightweight bag for brochures and giveaways
  • Clear logo placement on a broad front panel
  • A simple handout option for registration desks

They don’t feel as premium as cotton bags or backpacks, but they’re excellent when you need to reach lots of people, want bright colours, and need to stick to a budget. Here’s how Blum Australia used these bags.

Are backpacks worth the higher event budget?

Backpacks cost more than basic totes. They’re ideal for business campaigns, staff welcome packs, premium conferences, education providers, government programs, and events where people need a bag they’ll use afterwards.

Wendy Li, one of our account managers, received a backpack at a conference in Sydney and still uses it to this day. Backpacks are worth considering when:

  • Delegates are travelling interstate or between venues.
  • The event runs for more than one day.
  • The pack includes heavier items, such as bottles, catalogues, or tech accessories.
  • The audience includes staff, executives, students, or field teams.
  • The campaign needs a higher perceived value.

Charles Liu, our founder with over 20 years in the promotional products industry, says that if you want repeated exposure, backpacks are your best bet. He also suggests matching the product to the occasion instead of just picking the flashiest item. Read about the case study on How We Helped AQ1 Systems with these backpacks.

Where do paper day bags make sense?

Paper day bags are best when you only need the bag for the event day. They’re great for registration desks, sponsor bundles, product launches, gala events, short conferences, and staff campaigns. They’re one of our most affordable options.

  • Product launches
  • Gift packs at corporate events
  • Lightweight conference materials
  • Hotel or office-based events
  • Sponsor handouts
  • Short seminars and breakfast briefings

Paper bags work best for light content and controlled settings, like hotel conference rooms, university halls, or office events. Find out how we helped a company by supplying paper bags for them: The Lockeroom Case Study.

Why are nylon drawstring bags popular?

Nylon drawstring bags are light, compact, and easy to hand out fast. They’re a good fit for sports clubs, school carnivals, swimming programs, outdoor community events, sponsorship packs, and youth campaigns.

Their main strength is versatility. People can use them for sports shoes, swim gear, gym clothes, sunscreen, caps, snacks, and event materials. Many nylon bags also handle moisture better than paper or cotton, making them more practical for outdoor Australian events. Nylon drawstring bags are especially useful for:

  • School sports days and swimming carnivals
  • Local club sponsorships
  • Fun runs and charity walks.
  • Outdoor community events
  • Youth programs and camps
  • Fitness campaigns and gym promotions

The large front panel gives you plenty of space for a logo, especially if you want to print a bold event mark or sponsor logo. For sports groups, this is important because people often use the bag again for training, weekend games, beach days, or school activities.

What mistake do buyers make when ordering

The most common mistake is picking the cheapest bag without checking what people actually need to carry. A cheap paper bag might seem fine at first, but it can fall short if you need to include a catalogue, water bottle, notebook, and several sponsor inserts. Before you choose, make sure to check:

  • How heavy will the content be
  • Whether attendees will carry the bag all day
  • Whether the event is indoors or outdoors
  • Whether the bag needs to survive commuting or travel
  • Whether the artwork includes one logo or multiple sponsor logos
  • Whether the bag is intended for one-day use or long-term reuse

Swami Rossat suggests starting with three things: audience, content, and setting. If people are walking through a crowded expo hall, shoulder comfort is important. If the event is outdoors, water resistance is key. If the bag is part of a premium delegate pack, how valuable it feels matters.

Additional tip from Swami: The bag’s colour and the artwork’s position matter (not just whether you put your logo on it). For example, a small black logo on a dark navy bag can be hard to see, but a clean white logo on a bright non-woven tote stands out across a registration area.

How should you plan artwork for conference bags?

Keep artwork simple. If you’re in a rush, settle for one logo print. A conference bag is often seen while someone is walking, queuing, or carrying other items, so the design must be easy to read.

Good bag artwork usually has:

  • A clear logo or event mark
  • Strong contrast between print colour and bag colour
  • Minimal small text
  • Enough blank space around the design
  • Sponsor logos are grouped neatly rather than scattered.
  • Artwork sized to the usable print area, not just the full bag panel

Use the event name, brand mark, or campaign line instead of filling the whole print area with small text. For events with lots of sponsors, you can put the main event brand on one side and sponsor logos on the other, if the bag style allows.

Another tip: If you’re ordering conference bags in bulk, you can also print just your logo (exclude the event date and details) so you can reuse them for future events. Check out our Case Studies on Bags to get more ideas.

What the Team Recommends

The best event bag is the one people will actually use. Before you order, make sure the bag matches your audience, the event setting, and what people need to carry. This simple step will help you pick a branded bag that’s useful, looks good, and keeps your logo out there after the event.
